GENERAL DESCRIPTION:

 

Under general supervision, provide clerical, receptionist support services and maintain computerized systems to coordinate Wastewater Treatment Services effectively and efficiently.  

 

 

RESPONSIBILITIES:

 

  • Process requisitions, work orders and invoices for expenditures or revenue, services, and supplies.  Maintain an adequate inventory of office and stationary supplies.
  • Assist with the budget processes for capital and operating and prepare variances and projection reports. Maintain computerized financial records, generate, and maintain reports.
  • Process payroll daily time entry, maintain shift schedules and perform support functions. 
  • Provide clerical support services as requested by supervisor and assist with the administration of various policies. 
  • Prepare a variety of presentations, reports, letters, and other operational documents using various computer applications and maintains filing systems.
  • Schedule meetings, prepare agendas, record, transcribe and issue minutes and, track actions.
  • Assists with the divisional orientation for co-workers in procedures and practices, when required.
  • Manage calendars for others, tasks, and e-mails, and open, sort and distribute mail and perform clerical support backup services for the Clerk Typist, Environment.
  • Perform receptionist duties, greet visitors, answer telephones, and respond to inquiries.
  • Assist with the development of business and strategic plans, budgets policies and procedures.
  • Frequent intra-departmental contacts, to plan schedules, secure cooperation, coordinate efforts, exchange information and provide assistance.
  • Perform related duties as assigned from time to time.

 

 

QUALIFICATIONS

 

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Ability to function independently under own initiative and prioritize work.
  • Excellent interpersonal and communication skills and the proven ability to be discrete.
  • Ability to research, formalize and create organizational documents.

 

 

EDUCATION AND EXPERIENCE:

 

  • High School Diploma or GED equivalency and a one (1) year Office Administration Certification are required.
  • Minimum of two (2) years clerical support experience to include specialized skills and applied training in the use of a variety of software including spreadsheet, word processing is required. 
  • Proficiency with Power Point, MS-Project are assets.
  • Experience with general accounting practices is an asset.

 

 

OTHER REQUIREMENTS:

 

  • Ability to provide a Criminal Record Check for review and acceptance.
