ABOUT THE DIVISION
The Office of the CAO provides leadership, oversight, and strategic guidance to ensure the effective delivery of municipal programs and services. The office brings together critical functions including Corporate Records, Strategic Communications, and Council & Administration Support, that enables the Municipality to operate efficiently, transparently, and in alignment with its strategic priorities.
By coordinating organizational initiatives, supporting Council and senior leadership, and ensuring clear and consistent communication both internally and with the public, the Office of the CAO plays a vital role in advancing the Municipality’s mission. The team fosters innovation, accountability, and collaboration across departments, helping to ensure that every project and decision contributes to a thriving community.
GENERAL DESCRIPTION:
The Assistant, Council Relations is a critical member of the Chief of Staff Office whose performance and professionalism directly impacts the success of Council. The incumbent performs reception duties and provides general administrative support, scheduling, and management of council and shared spaces, and is a front line of support and point of contact for members of Council. The position also regularly interacts with the Office of the Chief Administrative Officer.
RESPONSIBILITIES:
Primary responsibilities of this position include:
General Administration: Creates and maintains documents, invoices, files, expenses, notifications, spreadsheets, statistical reports, presentations, and other related documentation for members of council. Manages the calendar and inbox of council members. Performs reception duties and ensures internal and external enquiries are appropriately responded to and/or redirected with a high level of customer service, diplomacy, and professionalism. Receives information about travel and other eligible business expenses and prepares expense claims for reimbursement.
Information Delivery Support: Receives information from internal and external sources, sharing information with Council as required. Researches, compiles, tracks, and assembles information for budgets, invoices, procedures, registrations, claims, and reports. Manages all administrative activities related to council. Promptly advises leadership of urgent matters needing attention.
SKILLS REQUIREMENTS:
- Candidates need to show evidence of the following:
- High-level knowledge of Municipal governance, policies, guidelines, protocols, etc.
- Exceptional written, verbal and listening skills.
- Ability to understand the strategic positions of the Municipality; and have political awareness and sensitivity.
- Exceptional proficiency working in MS Office programs (Word, Excel, Outlook, PowerPoint, etc.).
- Ability to effectively interact with internal and external clients and stakeholders at all levels while maintaining excellent customer service.
- Strong organizational and time management skills.
- Ability to operate within a fast-paced environment and appropriately deal with sensitive and confidential issues.
- Demonstrated professionalism and diplomacy.
EDUCATION:
- Diploma in Office Administration, Business Administration, or another related field is required.
- Public Administration Certificate, Human Resources Certificate, or Customer Service Training is preferred.
- An equivalent combination of education and work experience may be considered.
EXPERIENCE:
- Five (5) years of experience in an administrative support role with three (3) years of experience at an executive level.
- Experience working in a Municipal environment with multiple stakeholders is considered an asset.
- Experience working in a public sector environment with unionized and non-unionized employees is considered an asset.
OTHER REQUIREMENTS:
- Submission of a Criminal Record Check.
- A valid Alberta Class Five (5) Operator’s License is required as incumbent will be required to operate a personal or municipal vehicle for business use.

As per section 2 of the Occupational Health and Safety Act, the incumbent shall ensure, while in the employ of the Regional Municipality of Wood Buffalo, the health and safety of employees, contractors, and the public.
This position is not employed in a supervisory capacity. As such, the employee is not required to obtain additional safety training in accordance with municipal procedures and directives.
