GENERAL DESCRIPTION:
The Coordinator, Benefits oversees the system administration and maintenance of benefits, pension, and wellness programs. This role requires the development of expertise in processes, primarily focusing on the SAP-Benefits module in daily tasks. Additionally, the incumbent provides ongoing support for other HCM modules within SAP. Primary responsibilities of this position include:
Program Administration and Coordination: Coordinates the retiree program and organizes information sessions with benefits providers. Performs system administration and maintenance for group benefit and pension plans. Assists in the onboarding process by assisting with enrollment paperwork and ensuring the timely and accurate processing of enrollments. Serves as a liaison between employees and benefit carriers, meeting with employees to discuss options for continuing their benefits coverage and preparing cost estimates. Acts as the primary point of contact for the management of critical illness and life claims. Ensures the accuracy and maintenance of records, SAP data, provider websites, documents, and reports. Conducts regular audits of benefit deductions to ensure accuracy. Processes vendor invoices for approval and coordinates payments with Accounts Payable. Manages the Benefits inbox and is responsible for responding to benefits enquiries promptly.
System Administration and Maintenance: Performs data entry and maintains employee data in the SAP-Benefits module and benefit provider websites. Completes employee enrollments for benefits and pension plans. Participates in user acceptance testing for system upgrades and conducts business process analysis. Develops and generates reports using SAP Ad-hoc Query and Wage Type Reporter. Troubleshoots and audits benefit system processes to ensure data quality and integrity. Identifies potential system solutions and escalate issues as needed. Collaborates with the HR Analyst to diagnose issues and implement solutions.
Departmental Support: Supports the bi-weekly payroll process by ensuring timely setup and updates of benefit and pension records in SAP. Contributes to wellness strategies by assisting with projects as needed. Ensures compliance with internal policies, collective agreements, shared service agreements, and relevant legislation. Develops and maintains user procedures, guidelines, and documentation. Provides cross-functional support for the SAP Organizational Management and Personnel Administration modules.
SKILLS REQUIREMENTS:
Candidates need to show evidence of the following:
- Knowledge and proficiency in administering benefits programs and of HR processes and functions.
- Technical aptitude for administering ERP software and the ability to perform troubleshooting, system testing, and generate reports.
- Ability to effectively communicate in writing, in person, and over the phone with employees on sensitive matters while maintaining professionalism.
- Demonstrates listening skills, clarifies information as needed, and conveys information in a clear and concise manner.
- Sound judgement, and the ability to maintain a high level of confidentiality of materials and information.
- Works collaboratively and productively in a team environment, and actively contributes to team objectives.
- Ability to effectively interact with internal and external clients while providing a high level of customer service.
- Ability to maintain a high degree of accuracy and prioritize tasks to ensure deadlines are met.
- Demonstrates an analytical, problem solving, critical thinking, and constructive mindset.
- Advanced proficiency in using Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
EDUCATION:
- Diploma in Human Resources, Business Administration, Office Administration, or related discipline is required.
- An equivalent combination of education and work experience may be considered.
EXPERIENCE:
- Three (3) years of experience in a Human Resources environment, which includes one (1) year of experience in the use of SAP-HCM modules.
- Previous experience administering benefits programs is preferred.
- Experience working in a public-sector environment with unionized and non-unionized employees considered an asset.
OTHER REQUIREMENTS:
- Ability to provide a Criminal Record Check for review and acceptance.
