GENERAL DESCRIPTION:

 

The Coordinator, Organizational Management is responsible for the accurate creation and timely maintenance of position master data. By administering the Organizational Management (OM) module and processes, the incumbent will analyze and maintain the Municipality’s enterprise and reporting structure to support effective workflow management and resource planning. The Coordinator, Organizational Management will develop mastery and expertise of OM processes as well as provide support to the Personnel Administration module in their daily tasks. Primary responsibilities include:

 

System Administration and Maintenance: Creates and maintains positions in SAP to ensure accurate organization charts, reporting structures, and job titles. Produces departmental charting utilizing the Org Charting Pro system. Interprets requirements and implements system actions to reflect changes to the enterprise structure. Participates in SAP user acceptance testing, integration testing for system upgrades, and business process analysis. Identifies and corrects issues within the SAP-OM and SuccessFactors recruiting modules. Performs troubleshooting and auditing of OM business and system processes to ensure data quality and integrity. Coordinates with the HR Analyst in the diagnosis of system deficiencies and assists with the implementation of solutions.

 

Departmental Coordination: Reviews business cases, providing guidance and ensuring requests meet internal standards, communicating with leadership to clarify business needs as required.  Supports the recruitment process by providing appropriate position data to ensure alignment with business cases and postings. Updates cost centres and facilitates organizational vacancy reporting, liaising closely with Finance to ensure reconciliation between Finance data and OM reporting. Coordinates with branch employees for the accurate maintenance of position master data.

 

Department Support: Supports the bi-weekly payroll process by ensuring timely maintenance of structure and reporting changes. Ensures compliance with internal standards and policies, collective agreements, shared service agreements, and legislation. Supports other HR branches and leadership by providing advice on structure changes in alignment with organizational policies and procedures. Develops and maintains user procedures, guidelines, and documentation. Provides daily support to the Personnel Administration module which includes the accurate entry and maintenance of employee master data in SAP including, but not limited to new hires, rehires, organizational changes, changes in pay, salary continuance, leave of absence, retirement, and terminations. Provides cross-functional support to other HCM modules as required.

 

 

 

SKILLS REQUIREMENTS:

 

Candidates need to show evidence of the following:

  • Functional experience with SAP-Human Capital Management (HCM) modules and SAP-SuccessFactors.
  • Technical aptitude for administering ERP software and the ability to perform troubleshooting, system testing, and generate reports.
  • Ability to maintain a high degree of accuracy and prioritize tasks to ensure deadlines are met.
  • Works collaboratively and productively in a team environment, and actively contributes to team objectives.
  • Advanced proficiency in Microsoft Excel and strong skillset with Word, Outlook, and Visio.
  • Ability to clarify and convey information in a clear and concise manner.
  • Effectively interacts with internal clients while providing a high level of professionalism and customer service.
  • Working knowledge of HR processes and functions, Employment Standards Legislation, Collective Agreements, and Municipal policies.
  • Demonstrates an analytical, problem solving, critical thinking, and constructive mindset.
  • Sound judgment, and the ability to maintain high level of confidentiality of materials and information.

 

 

 

EDUCATION: 

 

  • Diploma in Human Resources, Business Administration, Office Administration, or related discipline is required.
  • Payroll Compliance Practitioner designation is preferred. 
  • An equivalent combination of education and work experience may be considered.

 

 

 

EXPERIENCE:

 

  • Three (3) years of experience in a multi-faceted Human Resources environment, which includes one (1) year of experience in the use of SAP-HCM modules and SAP SuccessFactors.
  • Previous experience in a payroll environment preferred.
  • Experience with org charting systems is preferred.
  • Experience working in a public-sector environment with unionized and non-unionized employees considered an asset.
