GENERAL DESCRIPTION:
Under general supervision, the Facility Booking Coordinator coordinates the allocation of sport fields and joint use facilities. This position maintains accounts and monthly billings, conducts research, analyzes, and prepares statistical data, produces contracts, provides support and conflict resolution to user groups, and promptly responds to enquires and complaints.
RESPONSIBILITIES:
- Consults with stakeholders/user groups in order to prepare for the upcoming sport field and facility allocations effectively and efficiently.
- Prepares, produces, delivers, and maintains the allocation schedules for seasonal sport fields and joint use facilities.
- Organizes, coordinates, and facilitates pre-season and post-season allocation meetings.
- Ensures all facilities are available and notifies operators of bookings.
- Ensures invoices for rentals are processed, reconciled, forwarded to accounts receivable, and tracked for all users/stakeholders.
- Generates facility use contracts.
- Assists with developing, researching, and assessing facility guidelines, policies, procedures, and user fees.
- Maintains, develops, and prepares facility usage reports and statistical documents.
- Provides conflict resolution among user groups when required.
- Reviews all special event permits provided through permit process.
- Book fields/facilities for special events.
- Provides support and coverage for other administrative staff in the department.
- Assists in special projects and community consultations and special events.
- Provides customer service support and services to a variety of clients.
- Performs other duties as required.
QUALIFICATIONS
KNOWLEDGE, SKILLS, AND ABILITIES:
- Proficiency with various computer applications such as Microsoft Office (Excel, Word, and Outlook). Previous experience working with AS400 would be an asset.
- Above average communication, interpersonal, problem solving, and organizational skills.
- High degree of attention to detail and accuracy.
- Positive attitude and desire to provide exceptional customer service.
- Is a self-starter, with a demonstrated ability to work independently and to effectively schedule work in order to meet service demands.
- Ability to preserve confidential information and exercise discretion with client information and/or municipal documents and information.
- General math and numeracy skills.
EDUCATION AND EXPERIENCE:
- Diploma in Office Administration, Business Administration, or a related field is required.
- Four (4) years of directly related experience in a customer service or community relations role is required.
- Experience in basic accounting is an asset.
OTHER REQUIREMENTS:
- Submission of a Criminal Record Check.
- A valid Class five (5) Operator’s Licence is an asset.
