GENERAL DESCRIPTION:

 

Under general supervision, the Program Coordinator is responsible for supporting the planning, development, scheduling, budget, and quality of the Regional Municipality of Wood Buffalo’s projects, programs, and initiatives. The incumbent supports project management stewardship, aids in the development of the projects through the entire project life cycle and assists the Project Lead with the application of project management principles throughout each project. This includes providing technical project management support and analyzing project information to prepare reports and other documentation.

 

 

RESPONSIBILITIES:

 

  • Prepare, analyze, evaluate, and coordinate status reports, progress updates, council reports and other required project reports for the project team, management, and senior leadership.
  • Proactively provide ongoing support during the project lifecycle, assisting Project Leads to achieve high quality project deliverables.
  • Prepare and maintain the project deliverable process for each project (project management plan, work plans, budget and change requests, issues, and risk logs), seeking approval when required.
  • Coordinate and conduct logistical activities in support of project and programs.
  • Utilize, manage, and adhere to project delivery standards and processes in support of projects.
  • Communicate and provide project related information to external stakeholders.
  • Liaise with contractors to gather data associated with schedule, value of work complete, spend forecasts, and project risks.
  • Assist with change management to support contract management.
  • Prepare presentations relating to project locations, scope of work, life cycle change analysis, and impacts on the capital budget.
  • Utilize program management software for real time reporting and to confirm financial and scheduling accuracy.
  • Provide finance and program management software assistance and guidance to colleagues as required.
  • Analyze project costs and budgets, cost forecasting, cost to complete, estimate at completion, cash flow projections, and variance reports.
  • Reconcile the allocation of budget funds to projects, and review and confirm correct financial coding are in place.
  • Coordinate and assist with the resolution of financial issues between project stakeholders and consultants.
  • Support the development and revision of department templates, training manuals, forms, and procedures.
  • Other related duties.

 

QUALIFICATIONS

 

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Demonstrated knowledge and understanding of the principles, processes, and requirements for strategic planning and project management.
  • Proficiency in capital project financial reporting.
  • Ability to work independently with minimal supervision and to effectively schedule work in order to meet deadlines.
  • Strong verbal and written communication skills, including the ability to communicate respectfully with co-workers and external contacts.
  • Ability to maintain composure and diplomacy in a demanding work environment.
  • Ability to analyze information from a variety of sources, prepare comprehensive reports, and remain current with new technology and industry practices.
  • Ability to work well under pressure and adjust to shifting priorities.
  • High proficiency in Microsoft programs (Excel, Access, Word, Visio, Project, and PowerPoint).

 

 

EDUCATION AND EXPERIENCE:

 

  • Degree in Business Administration, Construction, Engineering Technology, or other related field with two (2) years of comparable experience coordinating projects, reviewing capital project financial reporting, and working with project financial reporting systems and processes.

OR

  • Diploma in Business Administration, Construction, Engineering, or other related field with four (4) years of comparable experience coordinating projects, reviewing capital project financial reporting, and working with project financial reporting systems and processes.
  • PMP, PgMP, CAPM, or completion of accredited project management courses is preferred.
  • Extensive experience with SAP in project systems, project management software, and Microsoft Office are required.
  • Experience in contract administration and procurement are required.

 

 

OTHER REQUIREMENTS:

 

  • Submission of a Criminal Record Check.
  • A valid Class Five (5) Operator’s License is required as incumbent will be required to operate a personal or municipal vehicle for business use on a regular basis
