GENERAL DESCRIPTION:

 

Under general supervision, the Storage/Records Clerk is responsible for record storage and retention tasks to ensure the  accuracy, completeness, and safe storage of records. This includes maintaining filing systems; coordinating, identifying, retaining, cataloguing, and safekeeping records and documents; and performing a variety of clerical and customer support duties. While performing front-facing tasks with the public, the incumbent will ensure the customer service standards of the Municipality are always met, whether interaction is on the phone or in person.

 

RESPONSIBILITIES:

 

  • Maintain filing systems, catalogue records, coordinate retention schedules, and transfer files to storage.
  • Maintain a complete and current inventory of departmental records.
  • Perform clerical support duties including, but not limited to, maintaining an adequate inventory of specialized office and stationary supplies required for the operation of the property file room, and preparing documents using various computer applications.
  • Perform reception duties and respond to enquiries.
  • Perform other related duties as required.
  • Poor judgement or errors may result in a negative impact on municipal operations, corporate image, and strategic direction.

 

 

QUALIFICATIONS

 

 

KNOWLEDGE, SKILLS, AND ABILITIES:

 

  • Ability to learn optimal records retention and retrieval systems is required.
  • Proven ability to communicate effectively, both verbally and in writing.
  • Excellent organizational and interpersonal skills.
  • High degree of attention to detail and accuracy.
  • Ability to exercise confidentiality and discretion with client information and/or municipal documents and information.
  • Ability to work independently and to effectively schedule work in order to meet service demands.
  • Proficient in the use of various Microsoft Office programs (Word, Excel, and Outlook).

 

 

EDUCATION AND EXPERIENCE:

 

  • Certificate in Office or Business Administration or equivalent is required.
  • One (1) year of general office experience, including a focus on file maintenance and retention is required.
  • Previous experience with legal land descriptions is a definite asset.

 

 

OTHER REQUIREMENTS:

 

  • Submission of a Criminal Record Check is required.
